Training Title: Email and WhatsApp Etiquette in the Workplace

Introduction: 

This training on ‘Email and WhatsApp Etiquette in the Workplace’ seeks to createa mutually respectful atmosphere on the job by providing guidance on the prescribed codes of conduct to be observed in the use of WhatsApp calls and messaging, and email communication.

Rationale:

Research has shown that proper etiquette training contributes to employees’ effectiveness, the company’s capability to accomplish goals, and the nurturing of a welcoming and collaborative work environment. Team members will feel better about their jobs when they feel respected, and that translates into better customer relationships as well. Therefore, thistraining seeks to maximize overall efficiency in the area of communication, establish respect among colleagues and to showcase each participant’s personal values, and skills through the written text.

Aims:

  1. To teach the principles of proper etiquette for the workplace specifically as it pertains to emails and WhatsApp communications.
  2. To communicate the impact of first impressions in a professional context as communicated by the use of the written text, emojis, GIFs or and voice notes.
  3. To provide the tools for understanding how nuances of behavior can be determined by paying attention to the use of tone, vocabulary, syntax choice and emojis or GIFs in the text.
  4. To provide the tools for detecting how the level of professionalism and certification of the writer / texter is evidenced in their WhatsApp and email communication.

Approach:

The training will look at the form, meaning and use of the text by carefully analyzing the syntax, vocabulary and tone in the emails and WhatsApp messages. Each participant will also be required to produce and edit texts. Several case studies will also be analyzed.

  1. How to use appropriate subject lines.
  2. How to proofread emails before sendingthem out.
  3. How to use CCs and signature blockscorrectly.
  4. How to respondto emails givingconsideration to:-
    • tone
    • punctuation
    • cultural differences
    • appropriate levels of formality
    • sensitive or confidential information
    • controversialtopics
  5. How to writecarefully crafted emailsby:-
    • checking attachments
    • avoiding excessive abbreviations and emojis
    • learning to shortenor hyperlink the URL
    • providing an introduction first
    • using professional email addresses
    • using correct grammarand context
    • keeping fonts simpleand classic
    • minimizing the use of humor

  7. When to includethe recipient’s address

Participants will learn why it is important to:-

  1. Use appropriate profile pictures, statuses and descriptions.
  2. Message so as to maintain a professional image using:-
    • Standard English
    • appropriate punctuation and vocabulary (not lingo)
    • appropriate emojis and GIFs -if needed
  3. Avoid spamming chats.
  4. Give legal, moral,cultural and ethical consideration to what is written before posting in the chat
  5. Respond to or acknowledge messages.
